The Clinidiary diary for Friday 9 October: three practitioners' columns side by side, appointments coloured by funding type such as CTP, NDIS, DVA and Medicare, a lunch break across all three, a waiting-list count and a clock-on button.
The diary. A test clinic with invented patients — the real thing otherwise.
  • Unlimited free supportHelp by chat and email whenever you need it, at no extra cost.
  • Secure by designEncrypted connections, passkey sign-in and a trail on every record. Privacy comes first.

What it does

Everything you need to run your clinic, in one place

Nine things down the side of the screen: Dashboard, Diary, Patients, Directory, Accounts, Communication, Reports, My time and Manage. Nothing is three menus deep, and a new receptionist is useful by lunchtime.

Booking and scheduling

Appointment scheduling and online bookings, for every practitioner and site

Day, week or month, by room or by person. Patients book online and the time is held while they type; a waiting list refills cancellations without a phone call.

  • Online booking with a link for each clinic, and rules on what may be booked
  • A waiting list that fills cancellations
  • Classes with a roll, and rosters, leave and closed time
  • Arrived, note, invoice, paid — marked on the booking, so the room sees it without being told
Everything in the diary
The Clinidiary dashboard: appointments today, who is in the clinic, expected billing and today's list, beside a 'needs your attention' column of timesheets to approve, leave requests, notes to write and patient forms to review.
Treatment notes

Treatment notes that save as you type and lock once signed

Templates for the initial assessment, SOAP notes, discharge summaries and telehealth. A note keeps a copy if the connection drops, and a correction after signing is kept as an addendum, never an edit.

  • Forms sent online, or printed on your letterhead for the patient who prefers paper
  • Outcome measures tracked over time, and goals on the case
  • Letters, referrals and plans on the record, addressed to the patient's own doctors first
  • Duplicate patients found and merged
What is in the record
A patient's clinical notes in Clinidiary: note templates for assessment, discharge, telehealth and treatment on the left, and a SOAP note in draft on the right with subjective, objective, assessment and plan sections.
Invoicing and payments

Invoicing, payments and claims that always add up

An issued invoice never changes; a correction is a credit note underneath it. A funder is modelled as what it is, not as a discount on a private fee: Medicare EPC, WorkCover, NDIS, DVA, CTP and the health funds.

  • Split billing — the fund first, and the gap fills itself
  • EPC session counting, WorkCover claim numbers, NDIS support items, DVA and CTP
  • Packs, credits, discounts and stock at the same counter, GST handled per line
  • Day end that lists the third-party visits still to be billed
How billing holds up
Clinidiary's Accounts screen: taken today, outstanding and seen-but-not-billed totals, then a list of invoices showing who pays — WorkCover, CTP, NDIS, private — their status and a Take payment button on each.
Reminders and automations

Appointment reminders and confirmations that go out on their own

Reminders and recalls by text and email, set once and sent on time, with patients' replies in a shared inbox rather than somebody's pocket.

  • Two-way SMS on the patient's record, not a separate app
  • Reminders and recalls you set once
  • Confirmations by reply: a patient answers YES and the booking shows as confirmed
  • Email with copies — a letter or invoice to the patient and their doctor in one send
How reminders work
Clinidiary's Communication screen: one inbox of SMS conversations with patients, with the views All, Needs reply, Sent and Today, and a search box.
Reporting and analytics

Reports for any period and every practitioner, on one screen

Takings, visits and uncompleted notes by clinic and by practitioner, for any period, ready to print on your letterhead. An audit trail says who did what.

  • Practitioner scorecards and a print for each therapist
  • Roles and per-permission control — owner, manager, front desk, practitioner
  • Timesheets, hours and leave, with the diary following the sites' opening hours
  • Your data brought in from the software you are leaving
Running a practice
Clinidiary's Performance report for a month: revenue, collected, owed, appointments, patients seen, new patients, no-shows and booked online, with charts of revenue by day and patients seen, a table by clinic, a table by practitioner, and a Print button.

Security and privacy

Your records are safe with Clinidiary

Clinics trust Clinidiary with their patients' records every day. Security is not small print for us. It is built into every screen, from the way you sign in to the trail every change leaves behind.

Encrypted, always

Every connection to Clinidiary is encrypted, on every device, wherever you sign in.

Passkeys and two-factor

Sign in with Face ID, Touch ID or Windows Hello, or a password with a second code.

Locks itself

A screen left alone locks itself, so a shared computer never stays open on a patient.

Each person sees their part

Reception, practitioners and accounts each see what their job needs. You decide who can open clinical notes.

A trail on every record

Who signed the note, who issued the bill, who changed it. Nothing clinical is ever erased.

Your data stays yours

Patients, notes and invoices export whenever you like. We never sell them.

FAQs

Frequently asked questions

Is it only for physiotherapists?
It is built for physiotherapy clinics first, and the diary, notes, invoicing and claims suit any allied health practice: exercise physiology, podiatry, osteopathy, chiropractic, occupational therapy and others.
How do you keep patient information private?
Every connection is encrypted, sign-in can use passkeys or two-factor, screens lock themselves when left alone, each person sees only what their job needs, and every record keeps a trail of who did what.
Can patients book online?
Yes. Your clinic gets its own booking page: patients pick a service, a practitioner and a free time, and the booking lands straight in your diary.
Does it send reminders?
Yes. Appointment reminders go out by text and email on their own, and patients can confirm with a reply.
Can I bring my patients across from my current software?
Yes. Settings has a data import, and we help with the export from the software you are leaving so the diary and the patient list arrive together.
Does it work on an iPad or a phone?
Yes. Every screen is laid out for a desktop, an iPad held either way and a phone, so the diary and a patient’s notes are readable in the treatment room. Apps for iPhone, iPad and Android are coming soon.

  • Security

Screens lock themselves on shared computers

A clinic's screen now locks after 30 minutes left alone, so a computer the team shares never stays open on a patient. Owners can change the time.
